Hi Team, Welcome to March!

Please take the time (up to 30 minutes admin time) to read the newsletter and bring any questions to our upcoming team meeting on Wednesday March 12th @ 11:00. Lunch will be provided!

 

March 2025 Newsletter

Let’s Acknowledge some of our colleagues efforts to support our families at the clinic!:

  • Huge thank you to Chelsea and Elie for taking on school staffing hours to support the Miller Creek School District and serve their students!
  • Sam, Emily, and Isabelle have coordinated our waiting room revamp and we look forward to seeing the finished product–thank you for making the clinic a beautiful space for our families!
  • To our therapists leading our 12-week skills groups: Jazmine, Elie, and Kristen: we had a huge response from the community due to your hard work and dedication to making the groups fun and successful.
  • Massive appreciation to everyone supporting coverage or moving session times to see clients while therapists are on well deserved vacations or taking a sick day–thank you! Special shout out to Allie for adjusting her schedule and getting a personal thank you from a family!
  • Speech team: Shout out to Nicole and Allie for productive and collaborative 1:1 meetings and observation sessions!
  • Speech Room Reminders:
    • Please be sure to always clean up after a session when held in a speech room. Be especially mindful of picking up any small objects used in session as our speech team works with many young children and babies.
  • OT Assessment Reminders:
    • Please be sure to always make sure all assessment materials are together after an evaluation or when taking an assessment off-site.
    • Stay tuned for an update to help us ensure all assessments are ready and complete between evaluations. We’ll be introducing a new check in/check out system. More details to follow!
  • Fusion Reminders:
    • For school observations / school sessions:
      • Drive time preset should be used when commuting from the clinic to a school site OR from the school site to the clinic to see clients. Drive time is not compensated for commute time, i.e. coming from home to school site and home again. School observations and school sessions are compensated at your therapist rate.
  • Reminders from Admin:
    • Closing procedures if you are the last one in the clinic. Especially for days admin is out of office:
      • Turn off all lights
    • Turn off heat/AC (Nicole’s room, OT breakout room by food school, and gym)
    • Close metal warehouse door
    • Lock front and back door
    • Please submit Time Off Forms before the end of the pay period to ensure they can be processed before payroll.
    • Please gray block evaluation offerings on your schedule to ensure Admin does not double book appointmnets. Let us know if there is a shift in schedule/if your evaluation offering is no longer available.
  • Kaiser Procedures – Documentation Requirements:
    • Kaiser Notes (SOAP Format)
      • Subjective(S): Briefly document what the patient or parent reports (one sentence). Example: Parent reports child has been more irritable this week.
      • Objective (O): Include 1-2 data points. Example: Observed decreased postural stability for ADL training (50% maintained).
      • Assessment (A): This section can be repeated each week. Example: Continue with the current treatment plan focusing on parent education and ADL training.
    • Weekly Documentation:
      • Copy and paste the SOAP note from the previous week. Update only the Objective (O) data field with new information.
    • Progress Reports (PR):
      • Four weeks before a PR is due, instead of a standard weekly note, document consultation with another provider on the child’s team. Use this time to begin writing the progress report.
      • Even when consulting and writing the report, still document the following in the patient’s chart:
        • “Progress report write-up, refer to progress report.”
        • “Consulted with client’s ABA provider to obtain progress and share carry-over strategies.”
