Welcome to July!

July 2026 Newsletter

Names: Zones Basketball

Targets: Self-regulation, gross motor skills, social participation, impulse control

Materials/equipment needed: Basketball hoop or other receptacle, 4 small bean bags or balls (ideally blue, green, yellow, and red), open space, zones of regulation chart (optional), white board and dry erase markers (optional)

Activity:

  • Set up the basketball hoop either in the gym against the side of the monkey bars or against the doorframe in a private treatment room. If unavailable or currently in use, you can also use a larger stepping stone flipped upside down (in the private room) or the large blue tunnel (in the gym).
  • Therapist describes a scenario from home or school, and asks the child: “What zone am I in?”
    • Ex: “I’m in the school library and I’ve just picked out a book. Before I could check it out, one of my classmates came over and grabbed the book out of my hand. What zone am I in?”
  • Upon answering correctly, therapist tosses the corresponding ball or small bean bag (blue, green, yellow, or red for each zone) to the child, who then gets to take a shot at the basket/receptacle!
  • Rinse and repeat.
  • Instead of describing a scenario, you can also:
    • Ask about sensory tools or strategies
    • Ask about energy levels
    • Provide the zone instead and have the child describe a situation from home or school
    • Have the child draw an emoji on a white board illustrating the appropriate zone

Our summer intensives are continuing into July!  Please see below and note if you have any clients participating in camp, admin is contacting families to confirm if they will be attending their usual therapy session and will follow up directly with the treating therapist if there are any changes.

  • Our OT Capstone student, Naomi will be presenting some of her research on Wednesday, 7/15 at 11 a.m. Look out for a Google Calendar meet. We hope you’ll join us!
  • To ensure smooth operations and maintain excellent communication with our clients, please remember that all vacation requests must be submitted at least two weeks prior to your planned time off, preferably at least 3 weeks to allow for sufficient coverage planning. Relying on verbal cancellations with families can lead to scheduling miscommunications and families showing up for canceled sessions. To prevent this, please follow our standard absence workflow:
  • Notify Families: Send an email to your families confirming the dates of your upcoming absence.
  • Update the Coverage Spreadsheet: Add your clients to the internal coverage spreadsheet and share with your therapy team and admin so they can manage coverage needs or notifying families directly of any cancellations with a paper trail. Thank you for your cooperation in keeping our timelines intact and protecting our families’ time.
  • Sessions canceled outside of the clinic’s cancellation policy are still billed the session charge. GGRC and insurance clients are exempt from this policy. In the event of a late cancellation by a GGRC or insurance client, therapists may use their clinical judgment to offer a parent consultation, provide home program recommendations, or arrange a make-up session in order to maintain the billable time.
  • Session Clean-Up Protocols: Clean-up is included in your paid session hour. Please ensure you are cleaning up during your session time. This can be woven into your transition-out routine during the final 1–2 minutes, and we highly encourage involving your client(s) in the process. If you have back-to-back clients, please use the “go-back bin.” If you ever need a quick hand, feel free to request assistance from a volunteer or plan ahead with our admin team for extra support. Moving forward, neglecting to clean up after sessions will result in one verbal warning from a director, and if continued, a formal written warning.
  • Administrative Support & Scheduling: Standard logistical tasks such as moving sessions for summer, modifying availability, or arranging for coverage around any planned absences need to be handled directly by you, following the exact same protocol used for standard vacation coverage where admin supports after the initial reach out.  Should you require additional admin time beyond the bi-weekly amount provided due to scheduling needs, please check in with your director.

Fall Scheduling Admin Time: For therapists building their own fall schedule, admin time will be provided. For therapists working under 20 hours, up to 4 hours of admin time will be allotted.  For therapists working over 20 hours, up to 6 hours of admin time will be allotted. 

After our team meeting on 7/8, there will be an optional scheduling roundtable meeting to help support scheduling, forming groups, co-treats, etc.

Fall Schedule Timeline:

  • June 2026:
  • Monday, 6/29 Admin shares therapists’ caseload spreadsheets
  • Friday, 7/3 Therapists confirm their caseload spreadsheets and update fall availability presets in Ensora
  • Between 6/29-7/3 please edit and modify your caseloads spreadsheets to include the addition of clients you may want added to your caseload (kids that paused, kids you never heard back from post-eval). Be sure to highlight any kids that have co-treats or another therapy at LH to account for scheduling planning.
  • July 2026:
  • Wednesday, 7/8 – Admin sends out all Fall scheduling email campaigns on behalf of the therapists
  • Monday 7/21Admin sends out a 2 week reminder to all families about fall scheduling/therapists reach out to unresponsive families.
  • OPTION: Therapists can send a list of unresponsive families to admin by Monday 7/21 for them to reach out.
  • August 2026:
  • Friday  8/7Therapists finalize schedules in Fusion
  • Week of Monday 8/10 – Friday 8/14Therapists send email reminders regarding the start to fall scheduling.
  • Friday 8/14: Admin sends out mass email campaign reminder to all clients that Fall Schedule starts Monday.
  • Monday, 8/17 – Fall Schedule Begins!
