April 2026
Hi Team,
Welcome to April!
Please take the time (up to 30 minutes admin time) to read the newsletter and bring any questions to our upcoming team meeting on Wednesday, April 15th @ 11:00.
April 2026 Newsletter
April is OT Month, and we want to take a moment to recognize and thank our amazing OT team for the compassion and dedication you bring to your work every day. Your impact on the children and families we serve is truly meaningful, and our clinic would not be the same without you! We are so grateful for everything you do and the collaborative, supportive team you help create.
Some ways we are planning to recognize the OT profession and our OT team for April: Team
- Weekly OT spotlight: Stay tuned for some fun questions from admin to post on our socials to learn more about what led you to becoming an OT!
- “Sensory Sip Stop:” Look out for a non-alcoholic drink bar for the team to kick off OT month!
- Team Meeting/Catered Lunch: We’ll spotlight OT in our team meeting and share a delicious catered lunch to celebrate!
- “OTs in Action”: Admin will be creating a photo collage throughout the month to share fun therapy moments with our families in the waiting room.
Please note due to the spring break holiday, we will be pushing back our team meeting to Wednesday, April 15th at 11 a.m. Our admin team will adjust the Google Meet invite.
Thank you Meghan for kicking off our first Lunch and Learn Series! And thank you to everyone who attended!
We had another successful partnership with GHA’s annual social. Thank you to Alli, Jazmine, and Bryant for representing our team!
A team wide thank you to all of our therapists and admin for working together to get our CAQH credentialing tackled for 2026!
Name: Dodge Basketball
Targets: Motor planning, bilateral coordination, hand-eye coordination, impulse control
Materials/equipment needed: [In sensory gym] Blue tunnel, tunnel swing, 3-5 medium-sized balls
Activity:
- Setup: Place one large, blue tunnel at one end of the black mat in the gym. Place the other tunnel swing at the other end of the black mat; both should be roughly equidistant from the therapy/adjustment ropes in the center.
- Goal: The goal is to earn as many points as possible by launching balls into either target receptacle (blue tunnels).
- Rules:
- You may not cross the middle “line” (therapy/adjustment ropes in the center) while retrieving balls, aiming at the target blue tunnel, etc.
- You can “freeze” your opponent for 10 seconds by hitting them with the ball (NOTE: Chest and below only!), but you can only earn points by accurately launching your ball into their tunnel.
- You can use your own ball to “block” and knock away the opponent’s ball, or even catch your opponent’s thrown ball to freeze them for 10 seconds!
- First person to reach 5 points wins!
Grading:
- Up: Narrow the playing field horizontally by setting up cones along the perimeter, such that both competitors are required to dodge OR catch within narrower confines. Increase the number of medium-sized balls used or incorporate smaller “Pow!” balls. Obstacles to hide behind/help prevent being “frozen” may be added such as a bolster or large therapy ball.
- Down: Dodgeball component is either removed entirely, or shifted to throwing underhand only. The primary goal is still to earn points by launching your ball into the opposing target tunnel. Distance between the two tunnels may be decreased. Additional target receptacles may also be added.
For any Kaiser progress reports they request be completed with their “peach template,” please note, follow up Kaiser progress reports for those clients will need to be completed on the “peach template.”
Remember this only applies to clients where Theresa has specifically requested their report to be completed on the peach template. You will mark “re-evaluation” if you are not discharging the client.
Time to start registering and spreading the word for the Walk – SF walk for apraxia

Admin Procedures
When intake information is received, admin will document any special evaluation circumstances in the client file and scheduling notes, including:
- School observation already performed
- School observation requested
- Receiving speech evaluation/services, especially if at LH
- Receiving psychoeducational testing
- Other multidisciplinary involvement or current evaluation with other providers per parent reports
- This ensures case consistency and coordination
School Observation – Therapist Procedures
Observation Therapist Responsibilities
- Complete school observation. Observations are typically a billable clinical hour that provides 45 minutes for direct observation and 15 minutes for documentation/follow up and inclusion of any suggestions for family/school.
- Write observation notes (you may use AI to transcribe your notes as long as you do not include any personal identifying information such as name, school, etc) including:
- Classroom environment
- Sensory regulation
- Attention and executive functioning
- Fine motor/visual motor participation
- Social participation
- Transitions
- Potential helpful teacher supports and strategies
- The observing OT will:
- Directly email the evaluating and/or treating therapist with observation notes.
- Upload observation notes into the client file in Ensora (not under the appointment note).
- All school observation documentation must remain in the patient file and not in separate internal documents.
Evaluating or Treating Therapist Responsibilities (Post-Observation): In the event that the evaluating or treating therapist does not conduct a school observation:
- The evaluating or treating therapist will:
- Review observation notes.
- Integrate findings into the evaluation report, goals, or treatment planning as appropriate.
- Follow up with the family via email after the observation to:
- Share general observation findings
- Provide relevant clinical impressions
- Provide recommendations
- Communicate any relevant follow-ups with the school if needed
- The evaluating/treating therapist remains the primary point of communication with the family and school, unless otherwise discussed.
For any assessments completed or scored online (SPM, BOT-3 or PDMS-3), please be sure to upload the assessment results to the client file so we maintain appropriate records and easy access for any future re-assessments.
