Hi Team, Welcome to November!
Please take the time (up to 30 minutes admin time) to read the newsletter and bring any questions to our upcoming team meeting on Wednesday November12th @ 11:00. November 2025 Newsletter
- Bryant: Thank you for taking the lead on planning our upcoming holiday dinner celebration. We’re looking forward to it!
- Kayla and Emily: A big thanks to our amazing admin team for keeping things running smoothly and supporting everyone through recent caseload transitions.
- Meghan: We appreciate your continued mentorship for our former student, Naomi as her content mentor for her upcoming research study. (P.S. Naomi will be back with us in the spring to finish her studies—can’t wait to welcome her back!)
- Kayla: Shout out for your ongoing work training and developing such a wonderful group of volunteers who help make our clinic run so well.
- Emma: Huge thanks for stepping in to support the team and Oak Hill temporarily. Your flexibility and teamwork mean so much.
- OT Team: Thank you all for stepping up to support our families and one another during recent transitions. Your teamwork and dedication don’t go unnoticed.
- Kell: Thank you all for planning the cute and fun Halloween obstacle course!

- People don’t laugh at horses, only at hippos.
- You may notice Kellie or Cierra popping into your sessions from time to time. These observations are simply part of supporting client progress, getting eyes on a variety of clients and helping everyone continue to grow their clinical skills. Think of it as a little extra teamwork in action. Feel free to let us know if there’s a client in particular that you’d like support with.
- Please add kids that need school observations to the School Observation tab of the needs sessions
- Please don’t send unaccompanied groups into the gym. If you need assistance with a transition, please coordinate with our admin team.
- During busy times, please be mindful and conservative of swing heights/speed to avoid injuries to our kids! This applies specifically to our bolster swing as there have been several near misses. Please remind your clients that we have to be flexible and safe when others are in the gym, which may mean slower, safer swinging.
- For families who frequently email with daily concerns or updates, it can be helpful to encourage them to keep a brief log or journal of behaviors, triggers, and any observations or questions they have throughout the week. They can then share these notes with the clinician prior to the next session.
- This approach allows the clinician to integrate the parent’s insights into the session plan and documentation via a summary email after the session and/or parent consultation,and adjust treatment as needed. It’s a great way to support collaboration while keeping communication efficient and focused on progress.
HPMG/TCN Evaluation Billing- Please use the below codes for the day of the evaluation and the day you create the reports use the zero dollar codes.
- OT evaluation:
- Preset: OT Evaluation – HPMG/TCN
- Billing Codes: 97167: OT Evaluation – HPMG/TCN, plus the timekeeping code
- On the day the report is created, these codes should be used:
- Preset: OT Eval Report – HPMG/TCN
- Billing Codes: 97167: OT Eval Report – HPMG/TCN (This is zero dollar, and timed, so shouldn’t need the timekeeping code with it)
- ST evaluation:
- Preset: ST Evaluation – HPMG
- Billing Codes: 92523: ST Evaluation – HPMG, plus the timekeeping code
- On the day the report is created, these codes should be used:
- Preset: ST Eval Report – HPMG
- Billing Codes: 92523: ST Eval Report – HPMG (This is zero dollar, and timed, so shouldn’t need the timekeeping code with it)
To ensure we’re using best practices and providing an inclusive, respectful environment for all, please be mindful of the language we use when communicating with families and other clinicians.
We ask that you avoid using the term “kiddo” when referring to clients, as it may not reflect the age or developmental level of everyone we serve. Suggested alternatives: my client, [child’s name], child, teen, etc.
In addition, we are continuing to move toward neuroaffirming practices and language in our daily work. This includes avoiding phrases such as “give me your eyes,” and instead using more supportive, autonomy-respecting language like “let’s take a look together” or “when you’re ready, look at this.”
